Rentify Homes ("we," "us," or "our"), operated by Motor City Rehab, provides property management and rental listing services in the Detroit, Michigan area. a. Personal Identity Information
Name and date of birth, collected when you create an account or submit a rental application.
b. Contact Information
Email address, phone number, and mailing address, collected through account registration, rental applications, showing requests, and contact forms.
c. Financial and Employment Information
Employment status, employer details, and monthly income, collected as part of the rental application process. Social Security Numbers may be collected briefly for the sole purpose of initiating a background screening and are immediately redacted from our systems after submission to our screening provider.
d. Documents
Government-issued photo identification and proof of income documents (such as pay stubs or bank statements), uploaded during the rental application process and stored securely.
e. Background Screening Data
With your explicit written consent, we obtain credit reports, criminal background checks, and eviction history through an authorized third-party screening provider. A one-time screening fee of $39.95 applies and is disclosed before consent is given.
f. SMS and Communication Data
When you opt in to receive SMS text messages, we collect your phone number, consent status, the date and time you consented, the method of consent (web form, verbal, or written), the page where consent was given, and your opt-in and opt-out history. Your device user agent string is recorded at the time of consent for compliance purposes.
g. Property Interest Data
Information about property showings you book and rental applications you submit.
h. Payment Information
Rent payments are processed through Stripe, a PCI-compliant payment processor. We do not store your credit card numbers, bank account numbers, or other payment card details on our servers. Stripe handles all payment data directly.
i. Account and Authentication Data
Email address and password used for account login, managed through Firebase Authentication. Passwords are never stored in plaintext.

- Process and evaluate rental applications
- Conduct authorized background and credit screenings
- Communicate with you about your tenancy, lease, rent, and maintenance requests
- Send SMS notifications with your explicit opt-in consent (see Section 4 below)

4. SMS/Text Messaging Policy
Who receives SMS messages: Tenants, prospective tenants, employees, and contractors who have opted in to receive text notifications from Rentify Homes.
Types of messages we send:
- Rent payment reminders and overdue rent notices
- Maintenance request updates and status changes
- Property showing confirmations and reminders
- Lease-related notifications and renewal reminders
- Payment confirmation receipts
- Application status updates
- Work order assignments and updates (for contractors)
- Operational notifications (for employees)
Message frequency: Approximately 2 to 8 messages per month, depending on your role and account activity.
How to opt out: Reply STOP to any message at any time to stop receiving SMS notifications.

Standard message and data rates may apply depending on your mobile carrier and plan.
SMS consent records are retained for a minimum of four (4) years in accordance with regulatory requirements.
5. Information Sharing and Third Parties
We may share limited information with the following service providers, solely to operate our services:
- Twilio — processes and delivers SMS text messages on our behalf. Twilio acts as a service provider and does not use your information for its own marketing purposes.
- Firebase (Google) — provides our application infrastructure, including authentication, database, cloud functions, and file storage.
- Stripe — processes rent payments securely. Only the information necessary to complete a transaction is shared with Stripe.
- Background screening provider — receives application data only with your explicit written consent, solely for the purpose of producing credit, criminal, and eviction screening reports.
We may also disclose your information if required by law, court order, subpoena, or other legal process, or if necessary to protect the rights, property, or safety of Rentify Homes, our tenants, or others.
6. Data Security
We implement reasonable technical and organizational measures to protect your personal information, including:
- Firebase Security Rules that restrict database access based on user authentication and roles
- Immediate redaction of Social Security Numbers after submission to screening providers
- PCI-compliant payment processing through Stripe (we never store card numbers)
- Secure password management through Firebase Authentication
- Access controls that limit employee access to personal data based on job responsibilities
While we strive to protect your information, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.
7. Data Retention
- Account data: Retained while your account is active and for a reasonable period afterward to fulfill legal and business obligations.
- SMS consent records: Retained for a minimum of four (4) years per regulatory requirements.
- Rental application data: Retained for the duration of your tenancy and as required by applicable landlord-tenant regulations.
- Payment records: Retained as required by tax and financial reporting obligations.
- Background screening results: Retained per applicable landlord-tenant and fair housing regulations.
8. Your Rights and Choices
- Access and review your personal information through the Tenant Portal
- Opt out of SMS text messages at any time by replying STOP to any message

- Update your contact information through the Tenant Portal or by contacting us
- Withdraw consent for background screening at any time before a report is generated
